Members, roles, and permissions
Invite teammates to your workspace, choose their role (Admin, Member, or Referrer), and understand what each role can see and do - plus form-level access, field protection, and plan-gated features.
What it is
Workspace members are the people in your team's hiring space. Access in Binary is set by each member's workspace role, with extra controls at the form and field level. Only workspace Admins can invite or manage members - Members and Referrers don't see these controls.
Workspace roles
- Admin - full access: all forms and candidates (created by anyone), workspace analytics, members and roles, settings, billing, and integrations.
- Member - limited: can only see forms they create or are added to, and the candidates in those forms. Members can't see workspace-level analytics or manage members.
- Referrer - very limited: can only submit and see their own referrals - no forms, candidates, analytics, or other data. (The Referrer role is available only on the Business plan with referrals enabled.)
Invite a member (Admins only)
- Go to Settings (
https://binary.so/settings). - Open the People tab → Workspace members. (This section only appears for Admins.)
- Click Invite user.
- In the Invite to {workspace} dialog, enter the person's Email Address.
- Choose a role (Admin / Member / Referrer).
- Submit. You'll see a "Request sent successfully" confirmation and they're invited to the workspace.
If you enter someone already in the workspace, you'll see "This user is already in the workspace". A role must be selected, or you'll see "Please select a role".
Manage existing members (Admins only)
From the same Workspace members list, an Admin can:
- Change a member's role - from the member's ··· menu choose Change role, pick a new role in the Choose a role dialog, and save ("Role updated").
- Remove from workspace - from the same ··· menu. You'll confirm: "Are you sure?" / "{name} will lose access to all forms. Ownership of any forms created by them will be transferred to the workspace owner." → Remove (toast "User removed successfully"). Removing yourself shows as Leave workspace instead.
The workspace Owner is marked and can't be removed or have their role changed; your own row can't be role-changed either.
Form-level access
Beyond roles, you can add anyone as an editor on a specific form (see Add members to a form). Workspace Admins can always access every form; the form's owner and its editors can manage it. This is separate from workspace membership - a form editor doesn't get access to the rest of the workspace.
Field-level protection
Individual columns/fields on a form can be protected so only chosen people see them - the form owner and workspace Admins always can (see Protect a column).
Plan-gated features
Some capabilities require the Business plan regardless of role: workspace analytics, unlimited interview scheduling, referrals, and LinkedIn job posts. The Slack assistant works on every plan, and Free includes up to 5 interviews a month. See Plans and billing.
Notes & limits
- Admins only. Members and Referrers can't invite or manage people; if a non-admin asks, they'll need an Admin to do it.
- The Referrer role only appears when the workspace is on the Business plan with referrals enabled.
- This is workspace-level membership. To give someone access to just one form (not the whole workspace), add them as an editor on that form - see Add members to a form.
