This Privacy Policy (the "Policy") explains how Binary collects, uses, and discloses personal information through its online platform (the "Platform"). By using or accessing the Platform in any manner, you acknowledge that you accept the practices and policies outlined in this Policy, and you hereby consent that we will collect, use, and share your personal information in the following ways. Any capitalized terms that are not defined in this Policy are defined in our Terms of Service.
When organizations use Binary to collect and manage candidate or applicant data, the organization is the data controller and Binary acts as a data processor on their behalf. This means the organization determines the purposes and means of processing candidate data, while we process it according to their instructions and our agreement with them. For data we collect directly from you as a user of the Platform (such as your account information), Binary is the data controller.
While using our Platform, you will have the opportunity to provide us with certain personal information. In addition, we may collect certain information automatically through your use of the Platform. We will use this information to provide you with the functionality of our Platform, to improve our Platform, and to provide you with information about our Platform.
When you create an account with Binary, we collect basic information such as your name, email address, and password. This information is essential for creating and maintaining your personal account and providing you with a customized experience.
We automatically collect certain information about how you interact with our Platform, including your IP address, browser type, operating system. This helps us understand user behavior and improve our services.
When you communicate with us through our Platform, email, or other channels, we may collect and store that correspondence. This includes any feedback, support requests, or general inquiries you submit to us.
When candidates submit applications through forms created on our Platform, we process the data they provide on behalf of the organization that created the form. This may include name, email address, phone number, resume, cover letter, and any other information the candidate submits through the form. The organization that created the form is responsible for determining what data is collected and how it is used.
Our Platform uses Google Calendar APIs for a limited purpose: to schedule interview events and related calendar invites when you explicitly choose to use the scheduling feature. Connecting Google Calendar is entirely optional and based on your specific use case.
We request access to create and update events on your calendar (such as interview appointments) and to read your calendar (read-only scope). This allows us to create calendar invites for interviews you schedule and to respect your existing events. We do not access or modify events you have not created through our Platform.
The data accessed from Google Calendar is used exclusively for the scheduling operations you initiate—for example, to create and manage interview events (title, date, time, attendees, location, Google Meet link) through our Platform. We do not use Google Calendar data for analytics, marketing, or advertising.
We do not share any Google Calendar user data with third parties. The data accessed from Google Calendar is used strictly within our Platform to perform the specific scheduling operations you request. No data is sold, shared, or transferred outside our system.
We store the tokens necessary to create and read calendar events on your behalf so that the scheduling feature works across sessions. We do not store the contents of your calendar. All data is encrypted and securely stored using industry-standard protection (HTTPS/TLS, restricted access).
Users can revoke our access to their Google Calendar at any time from their Google Account settings. To delete all account data, including any stored calendar connection tokens, users may contact us at support@binary.so. Upon such a request, all related data, including calendar connection tokens and account identifiers, will be permanently deleted from our systems.
We process your personal data only when we have a valid legal basis. Depending on the circumstance, we rely on the following: (a) Contract — processing necessary to provide the Platform and manage your account; (b) Legitimate Interest — processing necessary to improve our services, ensure security, and understand how users interact with the Platform, provided these interests are not overridden by your rights; (c) Consent — where you have given specific consent, such as for marketing communications or the use of AI-powered features; (d) Legal Obligation — processing necessary to comply with applicable laws.
We do not sell your personal data. We may share your data with the following categories of recipients: (a) Service Providers — third-party companies that help us operate the Platform, such as cloud hosting (AWS), database services (MongoDB Atlas), analytics (Mixpanel), customer support (Intercom), email delivery (Postmark), and error tracking (Sentry); (b) Organizations — if you submit an application through a form on our Platform, your data is shared with the organization that created the form; (c) Legal and Compliance — when required by law, regulation, or legal process, or to protect the rights, property, or safety of our users or the public; (d) Business Transfers — in connection with a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction.
We use cookies and similar technologies on our Platform. Essential cookies are required for the Platform to function, such as authentication and session management — these cannot be disabled. We use Mixpanel for analytics to understand how users interact with the Platform. We use Intercom to provide customer support. We use Sentry for error tracking to maintain Platform stability. You can control non-essential cookies through your browser settings. Disabling them may affect certain features of the Platform.
We retain your personal data for as long as your account is active or as needed to provide you with our services, comply with our legal obligations, resolve disputes, and enforce our agreements. When your data is no longer needed for these purposes, we securely delete or anonymize it.
Your personal data is primarily stored and processed on servers located in India (Mumbai region), using services such as AWS and MongoDB Atlas. If your data is accessed from or transferred to a country outside your jurisdiction, we ensure appropriate safeguards are in place to protect your data in accordance with applicable data protection laws.
Depending on your location, you may have the following rights regarding your personal data: the right to access, correct, or erase your personal data; the right to restrict or object to processing; the right to data portability; and the right to withdraw consent at any time where processing is based on consent, without affecting the lawfulness of processing carried out before withdrawal. To exercise any of these rights, contact us at support@binary.so. We will respond to your request within 30 days. If you believe our processing of your personal data infringes applicable data protection laws, you have the right to lodge a complaint with your local data protection authority.
We use commercially reasonable physical, managerial, and technical safeguards to preserve the integrity and security of your personal information. In addition, we rely on the technical safeguards provided by the third party service providers we use to host, store, and process your personal information. The security of your personal data is important to us, but remember that no method of transmission over the Internet, or method of electronic storage, is 100% secure and hence we cannot guarantee its absolute security.
We are constantly trying to improve the Platform, so we may need to change this Policy from time to time as well. The date of the last modification will also be posted at the beginning of this Policy. It is your responsibility to check from time to time for updates. By continuing to access or use the Platform, you are indicating that you agree to be bound by the modified Policy. If we make any material changes to this Privacy Policy, we will notify you through the email address you have provided us.
Binary integrates with third-party AI services to power certain platform features, such as candidate evaluation.
We use Google Gemini, a generative AI service provided by Google LLC. When you use AI-powered features, relevant content (such as candidate information) may be sent to Google Gemini to generate responses or suggestions. This data is processed under an enterprise agreement with Google and in accordance with Google’s Privacy Policy and Gemini API Terms of Service. Under this agreement, your data is not used to train or improve Google’s AI models. We only transmit the minimum data necessary to fulfill the specific AI feature you are using.
Data sent to AI services is used solely to generate the response for your requested action. We do not share personally identifiable information with AI services beyond what is necessary for the feature you are actively using. You may choose not to use AI-powered features, in which case no data is sent to these services.
Our AI-powered features assist users by providing suggestions, answers, and filtering options. These features do not make automated decisions that produce legal effects or similarly significant effects on individuals. All final decisions, including those related to candidates, are made by human users of the Platform.

Our Chrome Extension for Binary allows users to add candidates from LinkedIn, Gmail, and X (Twitter) to their Binary workspace. This section describes how the extension collects and uses data.
The extension only extracts data when you explicitly click the “Add to Binary” button while on a supported page. From LinkedIn profiles, we extract the candidate's name only. From Gmail, we extract the sender's name and email address. From X/Twitter profiles, we extract the display name and username. All data extraction happens locally in your browser and is only sent to our Platform when you confirm the submission.
The extension requires certain Chrome permissions to function: “storage” (to remember your workspace and job selection), “activeTab” (to detect which website you're on), “scripting” (to read visible page content when you click the add button), “sidePanel” (to display the extension interface), and “cookies” (to maintain your authenticated session with Binary). The extension only accesses pages on LinkedIn, Gmail, and X/Twitter domains, and only when you navigate to them.
Extracted candidate information is used exclusively to create candidate submissions in your Binary workspace. We do not use this data for any other purpose, including analytics, marketing, or advertising. The extension communicates only with the official Binary API endpoints.
The extension does not share candidate data with any third parties. All extracted data is sent directly to your Binary workspace and follows the same privacy and security practices as data entered manually through the Platform.
The extension uses secure HTTPS connections for all communications with the Binary Platform. Your authentication credentials are handled through the same secure cookie-based system used by the main Platform. No passwords or authentication tokens are stored by the extension itself.
Data extraction only occurs when you explicitly click the extraction button - the extension does not automatically collect data in the background. You can uninstall the extension at any time through Chrome's extension management interface. Uninstalling the extension does not affect candidate data already submitted to your Binary workspace, which remains accessible through the Platform and follows the data retention policies outlined in this Privacy Policy.
