About the Role

We are looking for an experienced IT Asset Specialist to take end-to-end ownership of IT asset management and financial governance across hardware, SaaS, and infrastructure components.

The role will be responsible for ensuring efficient asset lifecycle management, cost optimization, compliance, audit readiness, and operational continuity across Rapido group entities.

The ideal candidate should have strong expertise in IT Asset Management, SaaS & License Management, Vendor Management, IT Finance Operations, MIS Reporting, and stakeholder management.

Key Responsibilities

1. IT Asset & Infrastructure Lifecycle Management

• Own the complete IT asset lifecycle, including procurement, allocation, tracking, recovery, and disposal.

• Maintain accurate and up-to-date CMDB and asset inventory.

• Manage assets including:

  • Mac and Windows laptops

  • Routers, switches, firewalls, and other networking devices

  • Office IT infrastructure

• Drive asset standardization and hardware refresh strategies.

• Ensure proper asset tagging, ownership mapping, reconciliation, and audit readiness.

2. SaaS & License Management

• Own and maintain the SaaS inventory across business units.

• Track license utilization, renewal timelines, vendor dependencies, and ownership.

• Identify opportunities to reduce unused or underutilized licenses.

• Drive license optimization and IT cost-rationalization initiatives.

• Maintain a centralized SaaS registry with clear ownership across Technology and Business teams.

3. Vendor & Renewal Management

• Manage end-to-end SaaS and hardware renewal processes.

• Maintain a centralized renewal calendar with appropriate risk flags.

• Coordinate with:

  • Finance for budget alignment

  • Security for vendor risk assessments

  • Legal for contracts, SLAs, and agreements

• Support vendor negotiations and initiatives focused on cost optimization and operational efficiency.

4. Financial Operations & Invoice Management

• Own the IT invoice processing lifecycle, including:

  • PO validation

  • Invoice verification

  • Payment tracking

• Manage IT-related corporate credit card expenses and reconciliation.

• Coordinate with Finance teams to ensure accurate and timely reconciliation.

• Ensure timely payments and accurate cost allocation across business units.

• Track and monitor IT spends against approved budgets.

5. MIS, Reporting & Dashboards

• Build and maintain IT MIS dashboards covering:

  • Asset inventory health

  • SaaS usage and cost trends

  • Renewal pipeline

  • Budget vs. actuals

• Prepare C-level ready reports on:

  • Monthly IT spend

  • Cost optimization initiatives and impact

  • Vendor concentration and associated risks

• Drive data accuracy, reporting automation, and process improvements.

6. Governance, Compliance & Audit Readiness

• Maintain audit-ready documentation, including:

  • Asset registers

  • Invoices and purchase records

  • Contracts and vendor documentation

• Support ISO, internal, and external audit requirements.

• Conduct and support periodic asset reconciliation audits.

• Ensure adherence to IT asset usage policies and procurement governance.

• Identify gaps and implement controls to improve compliance and operational efficiency.

Required Skills & Competencies

Functional Skills

• Strong experience in IT Asset Management – Hardware & SaaS.

• Vendor and contract management.

• IT financial operations, invoicing, and reconciliation.

• Advanced Microsoft Excel / Google Sheets skills.

• Experience with CMDB and IT Asset Management tools such as Freshservice or similar platforms.

• Strong MIS and dashboarding capabilities.

Technical Exposure

• Good understanding of endpoint devices, including Mac and Windows.

• Basic understanding of networking concepts such as LAN/WAN, routers, switches, and firewalls.

• Familiarity with office IT infrastructure.

• Exposure to Google Workspace and SaaS ecosystems.

Experience & Qualification

• 5–8 years of experience in IT Asset Management, IT Operations, or a similar function.

• Experience managing both hardware assets and SaaS/licenses is preferred.

• Experience in a high-growth startup or technology environment is an added advantage.

• Bachelor’s degree in Engineering, Information Technology, or a related discipline.
