Procurement Executive – FMCG & Nutraceuticals

Location: Hyderabad (in-office)

Function: Supply Chain & Procurement

Reports to: Procurement Manager

Earthful is a plant-based nutrition brand for women's health, backed by Fireside Ventures and V3 Ventures. Every negotiated deal and every procurement plan only matters if it's actually executed — this role is the follow-through: POs raised on time, documentation collected without gaps, and payments tracked to release, so nothing planned upstream falls through in execution.

Role Overview

This role owns the day-to-day execution of Earthful's procurement operations — raising purchase orders, coordinating material dispatch and delivery, collecting regulatory documentation, and tracking vendor payments through to release. You'll work closely with the Procurement Manager on demand and procurement planning, with QA on documentation and clearance, and directly with vendors and contract manufacturers on delivery and paperwork. This is a detail-heavy, follow-through role — the person who makes sure nothing negotiated or planned falls through the cracks in execution.

What You'll Own

Demand & Procurement Planning Support

• Track SKU-wise demand shifts and maintain the weekly demand tracker shared with Production & Procurement

• Support the Procurement Manager in maintaining the rolling RM/PM procurement plan, factoring in lead time and MOQ

• Flag demand or supply deviations to the Manager promptly

Procurement Execution

• Raise purchase orders accurately and on time

• Obtain proforma invoices and final invoices from vendors

• Coordinate material dispatch and collect LR (lorry receipt) copies

• Collect regulatory documentation (CoA, test reports) for every incoming shipment

• Track and follow up on vendor payment release once QC clearance and inventory inward are complete

Production Support

• Track the production plan against the 60-day inventory norm and flag material availability risks

• Raise purchase orders to contract manufacturers (CMOs) on time

• Coordinate QA team visit scheduling for in-factory quality monitoring

• Track PI and payment processing for CMOs, and confirm finished goods (FG) receipt

Vendor & CMO Development Support

• Research and compile options for new or alternate RM/PM vendors under the Manager's guidance

• Support CMO onboarding — document collection, FSSAI licensing status tracking, feasibility trial coordination

• Maintain and update the vendor and CMO database

Cost Tracking Support

• Compile COGS and market pricing data to support cost-reduction negotiations led by the Manager

• Track and report realized savings on renegotiated items

Cross-Functional (Suggested Additions)

• Coordinate with the Regulatory & Compliance team on documentation required for vendor/CMO FSSAI compliance

• Coordinate with the Warehouse team on GRN timing and inventory inward confirmation to keep the PO-to-GRN cycle tight

What We're Looking For

• 1–3 years of hands-on procurement or purchasing experience — PO processing, vendor coordination, documentation follow-through

• Experience in D2C, FMCG, or nutraceuticals/pharmaceuticals is a plus, not mandatory

• Comfortable with Excel — trackers, basic data compilation, simple reporting

• High attention to detail and follow-through — comfortable chasing documentation, dispatch status, and payment release without letting things sit

• Clear, proactive communicator — flags a delay or a missing document before it becomes a bigger problem

• Comfortable coordinating with vendors, CMOs, QA, and warehouse teams simultaneously
